
Soap Notes + Klaviyo
Send branded session reminders, invoices and follow-ups via Klaviyo.
Use Klaviyo's email infrastructure to automate communication with your coaching clients. Soap Notes triggers email sends from your existing Klaviyo templates, session reminders, invoice delivery, post-session follow-ups, package renewal nudges. No client health data is shared with Klaviyo; only the contact info needed to send the email.

How to connect Klaviyo

Connect Klaviyo
Settings → Integrations → Klaviyo → Connect. Paste your Klaviyo API key (find it under Klaviyo → Account → API Keys).

Map Soap Notes events to Klaviyo templates
For each event (session booked, invoice sent, etc.) pick a Klaviyo template. We pass through the merge fields so your templates render correctly.

Trigger sends from billing or schedule
Events fire automatically. You can also send manually, open any client → Email → Send via Klaviyo.
What you are approving
These are the exact permissions the consent screen asks for, and what each one is for.
- accounts:read
- Identifies which Klaviyo account you connected, so sends go to the right one.
- lists:read, lists:write
- Reads your existing lists so you can choose where contacts land, and adds people to the list you pick.
- profiles:read, profiles:write
- Creates and updates the contact record for a client in Klaviyo, so a booking or an invoice has somebody to send to.
- events:write
- Sends the event that triggers a flow, for example a session booked or an invoice issued. Write only: Soap Notes cannot read your existing event history.
Where it stops
- —Soap Notes never asks for permission to read your campaigns, templates or metrics, so it cannot report on how a flow performed. That reporting stays in Klaviyo.
- —We send the contact details needed to reach someone and the event that triggers a flow. Session notes and anything clinical are not shared with Klaviyo.
- —Flows themselves are built and edited in Klaviyo. Soap Notes triggers them rather than designing them.
If you disconnect it
Contacts and lists already in Klaviyo stay exactly as they are, since they live in your Klaviyo account rather than ours. Events stop being sent, so any flow that depends on a Soap Notes trigger will stop firing. Nothing is deleted on either side.
