Calendar Sync

Soap Notes + Google Calendar

Two-way sync between Google Calendar and Soap Notes.

Soap Notes connects to Google Calendar so your coaching schedule lives in one place. Sessions you schedule in Soap Notes are pushed to Google with full client and session details. Existing Google Calendar events can be imported and linked to a client. The sync runs daily and on-demand, no double bookings, no calendar drift.

What this integration does

  • Push Soap Notes sessions to Google Calendar in real time
  • Import existing Google events and link them to client records
  • Daily auto-sync plus on-demand refresh
  • No double-bookings, availability stays consistent across both tools
  • Client details stay in Soap Notes; only times and titles sync to Google

How to connect Google Calendar

3 steps. Around two minutes.

  1. 1

    Connect your Google account

Go to Settings → Integrations → Google Calendar → Connect. Approve calendar read/write access.

  2. 2

    Choose which calendars to sync

Pick the Google calendars you want to import from and which one Soap Notes should write to. Most coaches use a dedicated 'Coaching' calendar.

  3. 3

    Sessions sync automatically

From now on, every session you schedule in Soap Notes appears on Google. Click 'Import Events' to pull existing Google events into Soap Notes.

What you are approving

These are the exact permissions the consent screen asks for, and what each one is for.

https://www.googleapis.com/auth/calendar.readonly
Reads your existing events so Soap Notes knows when you are already busy and does not offer a client a slot you cannot take.
https://www.googleapis.com/auth/calendar.events
Creates, moves and removes the events for sessions booked through Soap Notes, so a cancellation here clears the entry there rather than leaving a ghost in your day.

Where it stops

  • Availability is read from the calendars you connect. An appointment in a calendar you did not connect will not block a booking slot.
  • Sync runs on Google's schedule rather than instantly, so an event added directly in Google Calendar can take a few minutes to show as busy here.
  • Client names on Google events are on by default. If you share your calendar with anyone, turn that off in Calendar Settings before you do.

If you disconnect it

Events already on your Google Calendar stay exactly where they are. They stop being managed, so a session you later cancel in Soap Notes leaves its calendar entry behind and you will need to remove it yourself. Sessions inside Soap Notes are unaffected.

Frequently asked questions

By default we sync the session title. You control whether the full client name appears on the Google event, turn it off in Calendar Settings if you share your calendar publicly.

Yes, both. The integration uses standard Google OAuth and works with any Google Calendar.

The matching Google Calendar event is automatically deleted. Same for time changes, both calendars stay in sync.
