Soap Notes + Google Drive

Attach files from Google Drive directly to client records and sessions.

Use Google Drive as Soap Notes' file storage. Attach any Drive file (PDFs, images, recordings, Docs) to a client or session record without uploading anything new. Soap Notes references the file in Drive, your storage costs stay with Google, your sharing permissions stay intact, and your files appear inside Soap Notes wherever you need them.

What this integration does

  • Attach Drive files to clients without uploading
  • Drive permissions and sharing rules respected
  • Works with Drive shortcuts and shared drives
  • Preview files inline in Soap Notes
  • No storage cost on Soap Notes, files live in Drive

How to connect Google Drive

3 steps. Around two minutes.

  1. 1

    Connect Google Drive

Settings → Integrations → Google Drive → Connect. Approve Drive read access.

  2. 2

Attach a Drive file to a client

Open any client → Files → Add from Drive → pick the file or folder. Soap Notes shows it in the client record.

  3. 3

    Share with the client (optional)

Toggle 'Visible in client portal' on any Drive file to share it via Soap Notes' portal, sharing rules in Drive still apply.

What you are approving

These are the exact permissions the consent screen asks for, and what each one is for.

https://www.googleapis.com/auth/drive.file
Lets Soap Notes open the specific files you attach. This is the narrow Drive scope: it covers files you pick and files we create, and nothing else. It does not allow listing or searching your Drive, so we cannot see what we were not handed.

Where it stops

  • Files are referenced, not copied. Deleting a file in Drive leaves a link in Soap Notes that no longer resolves.
  • Sharing is Google's, not ours. A client cannot open an attached file unless the Drive permissions on it already allow that.
  • The picker only reaches accounts you have connected. Files in a personal Drive are not visible when you connect a Workspace account, and the reverse.

If you disconnect it

Links already attached to a client stay on the record, because a link is just text once it is saved. What stops is our ability to open, preview or check those files, so a broken one will not be flagged for you until you reconnect. Files themselves are untouched, since they never left your Drive.

Frequently asked questions

Referenced. Files live in your Drive, Soap Notes just stores a link. That keeps your storage centralized and your permissions intact.

The link follows the file as long as it's not deleted. Drive permanent deletes show as unavailable in Soap Notes.

Yes. Any Drive file you have access to can be attached, including shared drives. Permissions are enforced by Google.

No, and the permission we ask for is the reason rather than a promise. Google's drive.file scope grants an app access only to files that app created or that you handed it through the file picker. Everything else in your Drive stays outside what Soap Notes can list, search or open. If you attach one file from a folder, the other files in that folder remain invisible to us.
